This article discusses how to update and reassign leads and tasks in bulk. Admins can update lead status, reassign leads, reassign tasks, and more using bulk actions.
Navigate to bulk actions by going to your Manage tab > Bulk Actions
Here, you can choose what action you would like to take:
- Change Status of Aging Leads
- Reassign Leads
- Reassign Tasks
- Delete Tasks
- Change Marketing Source
- Change Contact Source
- Clear Opportunities by Date
- Mark Leads Processed by Date
Change Status of Aging Leads
The Aging Leads report shows which leads have been in a status for a specified number of days, and allows you to change the status of all leads in bulk. To view this report or change lead status in bulk, select Change Status of Aging Leads from the Bulk Actions menu.
Select the status from the Lead Status dropdown. Choose Last Status Change Age to filter for leads that have been in that status for the chosen number of days or longer. A list of leads matching the chosen criteria is generated below.
Change Status
From the generated list, select the leads you would like to change, or select the checkbox at the top of the list to select all leads on that page. Search for specific leads using the Filter textbox just above the list.
Under the list, choose the New Lead Status for the leads and enter any notes you’d like to record for each selected lead. Click Save Changes.
The lead status change and the note will be recorded in the system notes of each of the affected leads. To view a lead’s system notes, select Leads from the left-hand side menu, then Edit on the lead you’d like to view. Select the Notes tab and click Show System Notes on the right-hand side of the page.
Reassign Leads
Reassigning leads is particularly helpful if you have an intake person who has left the firm and you might need to reassign their leads to someone else. To reassign leads in bulk, select Reassign Leads from the Bulk Actions menu. Filter for the leads you would like to reassign by either the lead status or the assignee role and name from the dropdown. You can also select All Unresolved Lead Statuses to include all leads with an open status. Click the Show Leads button to generate a list of leads that meet the criteria.
From the generated list, select the leads you want to reassign, or select the checkbox at the top of the list to select all leads on that page. Search for specific leads using the Filter textbox just above the list.
Under the list, choose the new assignee and enter any notes you’d like to record for each selected lead. Click Save Changes.
Reassignment of a lead is recorded in the lead’s system notes. To view a lead’s system notes, select Leads from the left-hand side menu, then Edit on the lead you’d like to view. Select the Notes tab and click Show System Notes on the right-hand side of the page.
Reassign Tasks
Reassigning tasks is particularly helpful if you have an intake person who has left the firm or goes on extended vacation and you might need to reassign their tasks to someone else. To reassign leads in bulk, select Reassign Tasks from the Bulk Actions menu. Select the current assignee from the dropdown. Click the Show Tasks button to generate a list of that assignee’s tasks.
From the generated list, select the leads you want to reassign, or select the checkbox at the top of the list to select all tasks on that page. Search for specific tasks using the Filter textbox just above the list.
Under the list, choose the user you want to reassign the tasks to and enter any notes you’d like to record for each selected task. Click Save Changes.
Reassignment of a task will show up in the system notes on the lead it is associated with. To view a lead’s system notes, select Leads from the left-hand side menu, then Edit on the lead you’d like to view. Select the Notes tab, then click Show System Notes on the right-hand side of the page.
If the task reassignment is the latest note on its associated lead, you can also see it within the task. Select Tasks, then select the task you’d like to view. Click the Last Note tab to see its reassignment history.
Delete Tasks
Deleting tasks is particularly helpful if you need to bulk delete tasks for whatever reason. To delete tasks, select Delete Tasks from the Bulk Actions menu. Select the current assignee from the dropdown and click the Show Tasks button to generate a list of that assignee’s tasks.
From the list, select the tasks you want to delete, or select the checkbox at the top of the list to select all tasks on that page. Search for specific tasks using the Filter textbox just above the list.
Under the list, click the Delete Tasks button to delete all selected tasks.
**Deleted tasks cannot be recovered. Exercise caution when using the Delete Tasks feature.
When the tasks have been deleted, you will be notified by a green popup in the upper right-hand corner.
Change Marketing Source
Bulk changing the marketing source is helpful for when you are re-vamping marketing sources and no longer need a certain source due to campaign/ad changes. Before you can delete a marketing source, you first need to move leads associated with that source to a new one. Follow the steps below to complete that step:
To change the marketing source of leads in bulk, select Change Marketing Source from the Bulk Actions menu. Using the Lead Created Start Date and Lead Created End Date fields, choose the desired time frame. Click the Starting Source dropdown to select the marketing source you’d like to change, and click the New Source dropdown to select the new marketing source.
When finished, click Bulk Change Lead Source. Lead Docket will ask you to confirm the action before proceeding. This action is irreversible, so proceed carefully. Once confirmed, a success message at the top right shows the number of leads affected by the change.
Change Contact Source
Same as "Change Marketing Source", bulk changing the contact source is helpful for when you are re-vamping contact sources and no longer need a certain source due to campaign/ad changes. Before you can delete a contact source, you first need to move leads associated with that source to a new one. Follow the steps below to complete that step:
To change the contact source of leads in bulk, select Change Contact Source from the Bulk Actions menu. Using the Lead Created Start Date and Lead Created End Date fields, choose the desired time frame. Click the Starting Source dropdown to select the contact source you’d like to change, and click the New Source dropdown to select the new contact source.
When finished, click Bulk Change Lead Source. Lead Docket will ask you to confirm the action before proceeding.
**NOTE: This action is irreversible, so proceed carefully. Once confirmed, a success message at the top right shows the number of leads affected by the change.
Clear Opportunities by Date
To delete all opportunities that were created before a certain date, select Clear Opportunities By Date from the Bulk Actions menu. Click the Delete opportunities before field and choose the desired date. Then, click Submit. Lead Docket will ask you to confirm the action before proceeding.
**NOTE: This action is irreversible, so proceed carefully. Once confirmed, a success message at the top right shows the number of opportunities that were deleted.
Mark Leads Processed by Date
To mark leads that are eligible for export as processed in bulk, select Mark Leads Processed By Date from the Bulk Actions menu.
**NOTE: Leads in the “Signed Up,” “Closed,” and “Referred / Signed Up” statuses are eligible for export.
Click the Mark "Pending Filevine" leads that are created before this date as processed field and choose the desired date. Once submitted, a success message at the top right shows the number of leads that were marked as processed.
