Document templates is a place to store documents that do not require a signature within Lead Docket, for all users to access.
Merge codes, used to auto-fill client information, can be added to files uploaded as document templates. Once a document has been uploaded with merge codes as a template, it can then be downloaded in the lead profile documents tab with the client information.
How to Add Merge Codes to Document Templates
- Document templates should be in .docx format. Merge codes will not work on .pdf files. Open the Word document and Lead Docket.
- Lead Docket user must have Administrator or Document Templates permissions.
- In Lead Docket, click Manage > Document Templates, then click Field Map.
- Type the field name into the Filter field and copy the Replacement Code.
- In the Word Document paste the code into the area where the information will populate. Save and Close the document.
- In Lead Docket, go to the Document Templates then click Add New.
- The template title is required, the lead status condition can be selected if the template is to generate only when the lead is in a specified status, similarly the case type can be selected if the template is only to be generated for a specific practice area.
Lead status and Case type can be left with no options selected if the template is to generate regardless of those factors. Upload the document with the merge codes in .docx format.
- After the template is saved, it can be viewed in the document templates page and in the documents section of the lead profile.
Templates downloaded from the document templates page will show the document with the merge codes. When the document is downloaded from the lead profile the merge codes will fill with the lead information.
Generated Documents for Individual Leads
- To download and send a generated document, navigate to the lead profile.
- In the lead profile, click on Documents. From there click download next to the document.
- After the file is downloaded, review for errors, then send it in an email or text via the Messages section of the lead.
