In this article, we'll walk through step by step on how to set up an integration between Slack and Lead Docket so that information can pass from Lead Docket into a Slack Channel.
***This integration is a really great use case for the Attorney Intake Review process so that the lead information goes to a channel of people instead of just one person via email.
Step 1: In Lead Docket, make sure you have Webhooks enabled. You can enable webhooks at any time by going to Manage > Settings > Integrations > Webhooks > Enable Webhooks > Yes
Step 2: In Slack, choose the channel you want the Lead Docket message to go to. Open the Channel and click on the Channel Title at the top of the screen. You should now see a pop-up box that looks like this
Step 3: In the pop-up window, go to the Integrations tab and select Add Automation
Step 5: Once there, you will see another pop-up window for the Workflow Builder. Click Create Workflow and on the next page, select From a webhook under the Start from scratch section
You should then see another pop-up box that says Choose how to start the workflow. Slack will want you to Set Up Variables in order to create a new webhook for you to post information to. You can start off with the Lead Docket hard-coded fields that are sent via webhooks. You can always come back to this later if you need to edit. Your Set Up Variables page should look something like this once you've added the fields you want to see:
Click Continue
Step 6: On the next screen, you'll see the start of your Workflow in Slack. You can label it at this time.
Click on the first line that says Starts with a webhook. This will give you a pop-up box labeled Change how this workflow starts. This is the same screen as pictured above, but if you scroll to the bottom, you'll see the Web request URL. Copy this URL and go back to Lead Docket
NOTE: THE NEXT STEP WILL HAVE TO HAPPEN TWICE
Step 7: In Lead Docket, go to Manage > Webhook Rules > Add New
Once there, title your new Webhook Rule and paste the URL into the Webhook URL field.
Under the Trigger Event section, you'll want to start with Lead Created. This means that if the lead is created in this status with this criteria, we want the information to send to the webhook.
In the Creation Rules section, you are required to choose an Associated Lead Status. In this example, I am choosing the Intake Review status to trigger this webhook. Your statuses may be labeled differently so choose the one that is used for intake reviews.
You can also add in specific criteria here:
Case Type - Choose all or choose specific Case Types that would trigger this to send (very useful if you have different departments reviewing leads and want to send to their channel specifically)
Office - Choose all or choose specific Offices that would trigger this to send
Opportunity Source - Choose all or choose specific Opportunity Sources to trigger this to send (Opportunity Sources are integrations that are set up with outside vendors that are posting information directly to Lead Docket. Example would be if you want one team to review all submissions from a PPC campaign)
Marketing Source - Choose all or choose specific Marketing Sources to trigger this to send
Requires Case Tracker Code - Choose whether or not the lead has to have a File Number from your Case Management System in the Case Tracker Code/Filevine Project ID field to trigger this to send (You can find this field in the Other tab of any lead)
Once you have your criteria, click Save
Step 8: Repeat Step 7, but replace the Trigger with Lead Status Changed and make sure you have the same criteria. This means that if the lead is changed into this status with this criteria, we want the information to send to the webhook.
Once you have your criteria, click Save
Step 9: Now that your webhook is properly set up to receive lead information, you will need to go back into Slack to finish the workflow
In your pop-up box, choose your next step on the right of the screen. In this case, it would be Messages
Then choose Send a message to a channel
In the next pop-up box, select the channel you want this information to be sent to and create what you want your message template to say
You can merge in the variables that you had previously set up
Once you're finished, click Save
You'll see the pop-up box disappear, leaving you with the original Workflow Setup box. Click Finish Up to publish the workflow
Step 10: The final step is to send a test lead from Lead Docket to your channel to make sure you have everything set up correctly and in the correct format for the message.
In Lead Docket, create a new test lead or move an existing test lead into the appropriate status that you designated in the steps above. MAKE SURE THE LEAD HAS THE CORRECT CRITERIA THAT YOU SET UP FOR THE WEBHOOKS
Once you place the lead in the appropriate status, it should immediately trigger the webhook and send a message to your Slack Channel.
